Operations Support Specialist.Admin Svcs

Position Description:

What You Will Do

Provide an advanced level of operations support related to accurate, complete, and timely documentation of capital construction work and ensures accurate, complete and timely reconciliation and processing of contractor invoices and assists with financial forecasts.

Compile, analyze, reconcile, and complete all tasks associated with closing a construction project and processing contractor invoices:

• Job orders and completion reports

• Designed versus constructed projects including as-builts

• Leakage and repair logs

• Service line documentation

• Pipeline data such as compliance records

• Major materials

• Invoices & supporting documentation

• Contractor Daily Progress Reports

• Contract terms & pricing

Use JES, Maximo, Oracle, Markview, PowerPlant, ONE Map, Business Intelligence, SharePoint, and Excel to enter or verify data and prepare reports including:

Completion Reports & supporting documentation

Invoice FERC account coding and supporting documentation

Debit memos & journal entries for labor and property corrections

Job-to-job material transfers

Communicate effectively with Field Operations, Engineering, GIS, and Property Accounting on quality of documentation and status of pending work.

Assists in training and on-boarding of team members. Demonstrate leadership qualities and the ability to handle different advanced level tasks. Proactively notifies team leads when coaching opportunities occur with other team members

Assist and support financial forecasting processes by analyzing project statuses and invoice timing.

Prepare billing information for third-party contributions and reimbursements.

Regular and reliable attendance is required in performance of job.

What You Will Need

Preferred associate degree in business administration, other related field, or an equivalent combination of formal education and the following job-related experience.

Experience reviewing project or construction documentation and contractor invoices.

Experience in use and function of office equipment applicable to position including: computers, photocopiers, and applicable software listed under Essential Functions.

Experience with policies, procedures, and use of terminology applicable to position.

Experience reading and interpreting different types of manuals, forms, publications, maps and reports.

Experience interacting, advising and communicating effectively with internal and external customers.

Experience composing and preparing correspondence and reports.

Read and write fluently in English

Applicable driver's license.

Mobility to travel in and around office facilities.

Communicate and exchange information or instructions.
